Print a Patron Name List

Patron Names lets you create customized lists of patrons. You can provide staff members with a list of patrons in certain homerooms or grade levels, or those who are restricted, inactive or have expired cards.

You can also generate lists of patrons based on graduation years or Patron Types. If you have a Follett wireless handheld device or PHD Dolphin+, you can use the device to generate attendance lists.

Generate a Patron Name List

  1. Select Reports > Patron Reports and under Patron Lists, select Patron Names.
  2. If you are a district user with the Manage Patrons for the District permission, select a single site from the list in the For field.
  3. Complete the fields in the Select by section.

    Note: There may be up to five User Defined options in the Select by drop-down. The table below defines the system-defined options.
    Field Definition
    Name

    To specify the names that appear on the list, use the From and to fields. You can enter a full name in either or both fields, or you can enter one or more letters in either or both fields to control what appears.

    • To include all patron names, leave both fields blank.
    • To include all patron names up to and including a patron name, leave the From field blank and enter a name or letters in the to field.
    • To include all patrons from one name or letter to all names that follow, enter a name or letters in the From field and leave the to field blank.
    • To include only one name, enter the same name in both fields.
    Acceptable Use Policy Select Yes or No to control which patrons appear on the list based on whether they have an Acceptable Use Policy (select Yes) or not (select No).
    Grade Level

    To display patron names based on a particular grade level or range, enter the grade level(s) in the From and To fields.

    • To include all grade levels, leave both fields blank.
    • To include all grade levels up to and including a grade level, leave the From field blank and enter a grade level in the to field.
    • To include all grade levels from one grade to all grade levels that follow, enter a grade level in the From field and leave the to field blank.
    • To include only one grade level, enter the same grade level in both fields.
    Homeroom

    A list of homerooms appears. Only homerooms to which patrons are currently assigned appear in the lists. To specify the list of homerooms:

    • To include all homerooms, leave Any Homeroom in both fields.
    • To include all homerooms up to and including a homeroom, leave the From field blank and enter a homeroom in the to field.
    • To include all homerooms from one homeroom to all homerooms that follow, enter a homeroom in the From field and leave the to field blank.
    • To include only one homeroom, enter the same homeroom in both fields.
    Barcode List

    You can include patron names on the report based on the patrons' barcodes. To specify the barcodes, you can create a list or upload a barcode file.

    To create a barcode list, enter the barcodes in the Create a barcode list field, and click Add.

    To upload a barcode file, create the barcode file, then click Browse, find and open the file. The file name appears on the Patron Names page.

    To remove a barcode number from the list, select it and click Remove.

  4. Complete the remaining fields on the Patron Names page:

    Select Show to include all site associations for each patron.

    All Patron Types

    Click Update to select the patron types you want to include in the report. On the Select Patron Types page, select the checkbox of each patron type you want on the report. Use Select All and Clear All to work with all checkboxes at once. Click OK when done.

    Active, Inactive, Restricted

    Select the checkbox to include active, inactive or restricted patrons.

    Patrons with multiple site associations

    Select the checkbox to limit the report to only patrons with multiple site associations.

    Graduation Year

    Select which year(s) you want to include, and then type the year(s) in the field.

    Card Expires

    Set a range of dates to display patrons based on their cards' expiration date.

    • To include all expiration dates, leave both fields blank.
    • To include all expiration dates up to and including an expiration date, leave the From field blank and enter an expiration date in the to field.
    • To include all expiration dates from one date to all dates that follow, enter an expiration date in the From field and leave the to field blank.
    • To include only one expiration date, enter the same expiration date in both fields.
    Include page breaksSelect the checkbox to include page breaks in the report. This option does not appear for all options in the Select by field.

  5. When you are ready, click Run Report.
  6. When Report Manager opens, click View to open the report.
Information Included

For each included patron, the list includes the following information:

  • Name (last, first middle)
  • Patron Type
  • Barcode number
  • Patron Status
  • District ID (if available)
  • Graduation year (if available)
  • Card expiration date (if available)
  • The name of each school with which the patron is associated (if included)
Sort the List

The list is sorted by the criterion you select in the Select by list, then by name.

If you select Name or Acceptable Use Policy, however, the list is in name order.

If you left the From and to checkboxes empty, the list includes all patrons. Patrons with no information in the Select by field appear first in alphabetical order, followed by patrons with information in the field.
